Team Evolve Ltd
Privacy notice
How Team Evolve collects, uses and protects your personal data, in line with the UK GDPR and the Data Protection Act 2018. This notice covers teamevolve.cc, joining Team Evolve through our registration page, our contact form and the Breakfast Club prize draw.
1. Who we are
Team Evolve is a trading name of TEAM EVOLVE LTD, a company registered in England and Wales with company number 15919810, whose registered office is at 124 to 128 City Road, London, EC1V 2NX. We are the controller of the personal data described in this notice.
If you have any questions about this notice or your data, email bryn@teamevolve.cc.
The EVOLVE app has its own app privacy policy. Wear Evolve, our clothing brand, has its own privacy notice.
2. The personal data we collect
- When you register as a member at teamevolve.cc/register: your full name, email address, country, age group, Discord username, Zwift ID, Zwift login email, Zwift category and whether you have joined ZwiftPower. We also add a link to your public ZwiftPower profile, built from your Zwift ID.
- When you use our contact form: your first and last name, email address, the subject you choose and your message.
- When you take part in the Breakfast Club prize draw: your Zwift and ZwiftPower display name and your public ZwiftPower results for each stage. If you win, your name, contact details, delivery address and any proof of age or residence we ask for. The prize draw terms explain this in full.
- When you visit the website: our hosting provider, Netlify, processes standard technical data such as your IP address and browser type to deliver the site and keep it secure.
We do not use analytics, advertising or tracking cookies on teamevolve.cc. The home page saves one small setting in your browser so its intro video only plays once. It does not identify you and you can clear it at any time in your browser settings.
3. How we use your data and our lawful bases
- To set you up as a member. We use your registration details to add you to our member list, give you the right roles on our Discord server, place you in race squads and send you a welcome email. Our lawful basis is our legitimate interests in running the team for our members.
- To reply to you. We use contact form details to answer your message. Our lawful basis is our legitimate interests in responding to enquiries.
- To run the prize draw. As set out in clause 9 of the prize draw terms. Our lawful bases are performance of our agreement with you to run the prize draw, and our legitimate interests in running it fairly.
- To meet our legal obligations, for example if a regulator asks for information.
We will not send you marketing unless you have separately agreed to it, and you can stop it at any time.
4. Who we share data with
- Google, which stores our member list in Google Sheets and sends our emails through Gmail.
- Netlify, which hosts this website and receives contact form messages.
- Discord, where our server bot uses your name, Zwift ID and Discord username from our member list to set your roles. Your use of Discord itself is covered by Discord's own privacy policy.
- Zwift and our courier, only for prize draw winners, and only the details needed to deliver a prize.
- Professional advisers and authorities, where reasonably required or required by law.
We never sell your personal data.
5. International transfers
Google, Netlify and Discord may process data outside the United Kingdom, including in the United States. Where this happens, the transfer is protected by safeguards approved under UK law, such as the UK Extension to the EU to US Data Privacy Framework or standard contractual clauses.
6. How long we keep your data
- Member details: while you are a member of Team Evolve, and for up to 24 months after you leave or ask us to remove you.
- Contact form messages: up to 24 months after we last reply.
- Prize draw data: entry data for 6 months after the draw and winners' data for 12 months after the draw, as set out in the prize draw terms.
After that we delete the data securely.
7. Your rights
Under UK data protection law you have the right to ask for a copy of your data, to have it corrected, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. To use any of these rights, email bryn@teamevolve.cc. We will reply within one month.
You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to sort out your concern first.
8. Ages
Team Evolve membership is for people aged 16 and over. The Breakfast Club prize draw is for people aged 18 and over who live in the United Kingdom.
9. Security
We keep your data in secure, password protected services with access limited to the people who run Team Evolve. No system is completely secure, but we take reasonable steps to protect your data and will tell you and the regulator about a serious breach where the law requires it.
